What we collect, why we collect it, and what you can tell us to do about it.

Who we are

This policy covers seagateworks.com. It also describes, in general terms, what we hold about members — the member portal and mobile app run on separate systems and are governed by your membership agreement as well as this policy.
What we collect
What you give us. If you request a tour, we collect your name, email address, phone number, company, team size, the membership you are interested in, when you are looking to start, and anything you write in the message field. If you email or call us, we keep that correspondence.
What we collect automatically. When you visit the site we collect pages viewed, time on page, the site or search that referred you, approximate location derived from your IP address, and your browser and device type. This comes from Google Analytics and is described under cookies below.
What we collect from members. If you join, we hold the information needed to run a membership: contact details, billing information, your plan and the space assigned to you, door-access events, room bookings, and mail we receive on your behalf. Payment card details are handled by Stripe and are never stored by us.
Virtual office and mail. United States Postal Service rules for commercial mail receiving agencies require us to collect a completed USPS Form 1583 and two forms of identification from every person who receives mail at this address. We hold those records because we are required to, we keep them in private storage, and we never publish them or make them available by link.
Cookies, analytics and advertising
We use cookies and similar technologies in three groups.
Essential. Needed for the site to work and to remember your cookie choice. These are always on and cannot be switched off.
Analytics. Google Analytics 4, which tells us which pages are read and how people arrive. We use it to decide what to write and what to fix, not to identify individuals.
Marketing. We intend to run advertising and remarketing with Google and Meta. That means third-party vendors, including Google, may use cookies to serve you advertisements based on your previous visits to this site, and we may build audiences of past visitors to show ads to. These are off unless you accept them.
You choose when you first arrive, and you can change your mind at any time using the Cookie settings link at the bottom of any page. We use Google Consent Mode, so when you decline, Google's tags are told not to store cookies rather than simply being trusted to behave.
You can also opt out independently of us: through Google Ads Settings, through the Digital Advertising Alliance at optout.aboutads.info, or by installing the Google Analytics opt-out add-on. Most browsers also let you block or delete cookies directly.
Why we use it
To answer your enquiry and arrange a tour. To run your membership — billing, bookings, access and mail. To understand which parts of the site are useful. To advertise the space to people who have shown interest in it. To meet legal obligations, including the USPS rules above and ordinary tax and accounting requirements.
We do not sell your personal information, and we do not share it with anyone who wants to market their own products to you.
Who else sees it
Only the companies that help us run the business, and only for that purpose:
- Netlify — hosts this website and receives tour requests submitted through it.
- Google — analytics, and advertising if you accept marketing cookies.
- Meta — advertising, if you accept marketing cookies.
- Microsoft — our email.
- Stripe — membership payments.
- Resend and Expo — member email and mobile notifications.
We may also disclose information if the law requires it, or to establish or defend a legal claim.
Members: what other people can see
Membership runs on Floorplate360, the platform Tidegate Partners built to operate this space. When you join we collect your name, email address, phone number, company, and optionally a photo and the skills you choose to list.
Other members can see your name, photo, headline, company, bio and listed skills in the member directory, and can message you. You control this: directory visibility, whether your presence in the space is shown, and whether your contact details are visible are all switches in your profile, and turning one off removes you from that view immediately. They are on by default — turn them off if you would rather not appear.
The building owner receives reporting on how the space performs: occupancy, revenue by category, and which units are let. They do not receive member names, contact details, mail records or access logs.
Other locations, if Seagate Works ever joins a network that lets members work from sister spaces, would receive your name and membership status when you ask to visit one — enough for their front desk to expect you, and no more.
Partners. We may work with other local businesses to offer member benefits. Where that happens we will tell you who they are before anything is shared, and we will not pass your contact details to a partner for their own marketing unless you ask us to.
Your choices
Write to hello@seagateworks.com and you can ask us to give you a copy of what we hold about you, correct it, delete it, or stop using it for marketing. We will respond within a reasonable period, and we will not treat you differently for asking.
Depending on where you live, you may have specific rights under laws such as the California Consumer Privacy Act, the Florida Digital Bill of Rights, or the General Data Protection Regulation. Tell us which you are exercising and we will handle it accordingly.
Members can switch off directory visibility, presence and contact sharing at any time from the member portal. Those are settings you control, not requests you make to us.
How long we keep it
Tour requests are kept while we are in conversation with you and for a reasonable period afterwards. Membership records are kept for as long as you are a member and then for as long as tax and accounting rules require. USPS Form 1583 records are kept for the period those rules require after mail service ends. Analytics data is retained on Google's standard schedule.
Security
Information is held in access-controlled systems, encrypted in transit, and visible only to the people who need it to do their jobs. Mail scans and identification documents are kept in private storage that is never served from a public address. No system is perfectly secure, and we will not pretend otherwise.
Children
This site and our memberships are intended for adults. We do not knowingly collect information from children under 13. If you believe we have, tell us and we will delete it.
Changes
If we change this policy we will change the date at the top. If the change is significant we will say so plainly rather than relying on you to notice.
